Property manager cleaning inspection checklist

Property managers in Southwest Florida often inherit a cleaner with the lease. This checklist is for inspecting commercial suites — medical and professional — in Naples, Estero, Bonita Springs, and Fort Myers. It matches what Alma Clean already logs: arrival, tasks, photos. It is not a construction punch list and not a residential apartment walk.


Before you walk

  1. Scope in writing: rooms in, rooms out, after-hours access, fragrance yes/no in clinical space.
  2. Named contact on both sides. Alma Clean’s first visit is with Kim Cetares; after that the dashboard is the nightly record.
  3. You should know where to look: app.almaclean.co/login for existing Alma Clean clients.

On the floor (suite)

  • Entry glass and reception. First impression. Fingerprints and dust on high surfaces show in newer Estero stock and in Naples professional suites alike.
  • Conference / waiting. Tables clear, chairs squared, flooring actually vacuumed or mopped — not just the path from the door.
  • Kitchen / break. Sink, counters, trash, floor. This room fails silently until a tenant event.
  • Restrooms. Counters, fixtures, floors, supplies, odor. QR cards, if installed, are how daytime failures reach the crew without a day porter. We still do not sell a day-porter page.
  • Private offices or exam rooms. Only if scoped. Medical rooms follow the practice’s products and dwell times; see the infection-control guide.
  • Lockup. Lights, doors, alarm as the tenant specified. Check-out time should exist.

After you walk

Compare the floor to the visit photos. If they disagree, send the room and the date — not a vague “quality issue.” Recurring restroom failures belong on one thread. A monthly photo compilation is useful for a file; it is not a score.

Inspection questions

Does this checklist replace a walkthrough?

No. It organizes what to look at. Alma Clean still wants Kim Cetares on the first visit so the checklist matches the actual floor plan and after-hours access.

Can I use this for residential units?

This page is written for commercial suites — medical offices and professional spaces. Alma Clean’s public site does not market a residential city×service grid. Residential work is a hiring line on Careers, not this checklist.

Where do the photos live?

On Alma Clean accounts, in the client dashboard (check-in, tasks, photos). Existing-user login is https://app.almaclean.co/login. We do not publish a star rating of the building.

How to inspect a commercial clean

  1. Confirm the visit happened

    Match the evening’s check-in and check-out to the access you issued. If there is no time stamp, you are inspecting a story.

  2. Walk the public rooms first

    Reception, elevator lobby inside the suite, conference, kitchen, restrooms. These are what tenants’ clients see. Note glass, trash, supplies, and odor — odor is not disinfection.

  3. Spot-check tasked private rooms

    Private offices or exam rooms only if they are on the scope. Do not fail a vendor for a room they were told not to enter.

  4. Compare photos to what you see

    If the dashboard photo of the restroom does not match the room, that is the issue — not a marketing paragraph. Ask for the visit record, not a new slogan.

  5. Write exceptions once

    One list back to the vendor with room, date, and photo if you have it. Repeating the same restroom failure without a QR or a photo trail is how routes go stale.
